Monday, January 30th Update

I know, the time is flying. I want to thank those of you who turned in your reports last week for review. The review process is taking just a bit longer due to the PDF printing issues, but I have been informed by DPI that they expect the PDF printing fix this week. Let's all keep our fingers crossed.

 

All of the field issues from last week have been addressed. If you come across a field that is not accepting a value or mysteriously becomes blank after you save your information, let me know immediately so I can pass it on to DPI.

 

Don't forget, I will have Annual Report Office Hours on February 10^th at 10:00 a.m. for any questions you may have. As always, I am available Monday thru Friday, 8:00-4:00 to offer assistance.

Day Two - Morning Updates and Clarification about Other Material Owned

Good Morning Everyone,

 

 

 

 

 

 

 

 

 

 

 

Nutmeg wanted to drop in this morning and give everyone a big "Hello" and "Happy Wednesday".

 

I received an email last night stating that LibPAS has fixed the issue with the user fields that were not showing their values (4a/b, 5a/b 6c/d, 7a/b). If you have any additional problems with these fields, please let me know and I will pass it along.

 

There seems to be confusion about what "Other Materials Owned" means. DPI defines this as "special collections" (from the DPI Instructions).  For this field in Section II and in Section III you are reporting on items in these special collections. Examples of these items can include wi-fi hotspots, sewing machines, puzzles, board games, tools, cake pans. Print subscriptions do not get reported here. They have their own field. Please see the DPI Instructions, page 11 and page 13.

Updates After Day One

Day one almost in the books. 

 

Thanks for all the great questions today. We have had a few hiccups with a few fields on the form, but this is to be expected. So, as of now here is what we are dealing with.

 

• We will not be able to print clean, signable PDF's until early February.
   
• For Section III Users / Use questions 4b and 5b were not displaying and for Use of Digital Resources 6d, 7a, and 7b were not displaying. This is fixed. There is still an issue with visibility of the value stored in the field. Once a selection is made from the dropdown or a number is entered and the user tabs away from the field, the box remains blank though a value is saved in the database. This issue is known to be affecting 4b, 5b, 6d, 7a, and 7b. Fix under investigation.
  
   

If you run across problems with fields that calculate a value not adding correctly (example Section II #11) after you fill in the necessary fields to calculate this value, click "SAVE" to refresh the form. If the calculated value is still incorrect, "SAVE" then log off and log back in. This should fix the issue for now.

I also received answers from DPI to a few questions that were asked during the webinar.

 

Electronic Library Cards Issued during COVID-19: If library policy is still in place in 2022 to issue electronic library cards because of COVID, then answer "yes" to this question.

 

Overdue Fines - Changing to fine free sometime during 2022: On Dec 31, 2022, if the library policy states that you are fine free on print materials, then answer "no" you do not charge overdue fines.  A note should be added, stating a change in policy and the date.

 

Overdue Fines - Grace Periods: On Dec 31, 2022, if the library policy states that you charge overdue fines on print material, then answer "yes" you charge overdue fines. The date the fine is charged does not matter.

 

Library Governance - Non voting members: When listing library board members in section IV, only list "voting" library board members. Do not list non-voting members.

 

If you have questions about revenue, expense, capital revenue/expense, other funds held, or funds carried forward, call me and we will discuss specifics to your library.

Happy New Year Everyone!

 

Hope you all had a fabulous holiday. The "Spice Girls" (Nutmeg and Ginger) are ready for the New Year. 

 

The SCLS Annual Report Team is working hard, running all the reports and collecting all the data for the annual report pre-fill to send to DLT next week. The countdown has begun with only 55 days to complete all the reports.

 

Reminders 

 

Annual Report Webinar is January 13 at 10:00 a.m. If you haven't registered yet, here is the link Webinar Registration - Zoom

 

LibPas Annual Report Form will open January 24. The worksheet is available now for download and the DLT Instructions are available. Here are the links worksheet   DPI Instructions

 

SCLS Instructions will be available after the pre-fill is completed.

 

February 15 is the final date to hand in your report for review.

 

February 24 all reports must be emailed to me locked and signed.

 

Other Information

 

Take a moment to log into the DLT annual report portal. Make sure your username and password are working. If you have any problems, please let me know immediately.

 

I am available 8:00-4:00, Monday thru Friday, to answer any questions. Email or call. If you call, and I don't answer that means I am helping someone, please leave me a message.

 

And this is just a reminder that "yes" we will be filling out the adjacent county reimbursement forms. Remember, we can not start the forms until all of the annual reports are turned in. We need the information from your annual reports to fill out the adjacent county reimbursement forms. The deadline for adjacent county reimbursement completion is July 1.
